Please note the following Terms and Conditions that will apply to your trip. We have kept them as easy to read and straight forward as possible, as we know you’d rather be getting ready to travel than reading pages of fine print.
It is your responsibility to read and understand our Terms and Conditions, and how they may affect your trip. We are happy to clarify or answer any questions you may have. Feel free to contact info@untolditalytours.com and we’ll be happy to assist with any additional information.
This agreement replaces all prior oral or written communications, representations, or agreements between the parties and applies to all trips organised by Untold Italy Tours and sold on this website.
1. Our Contract
All bookings are made with Untold Trading Trust trading as Untold Italy Tours (ABN 93811409853) (“we”, “us”). A binding contract is formed only when we confirm your booking in writing after receiving your deposit. By booking, you agree to these terms and conditions, which make up the entire agreement between you and us. No variation to this agreement is valid unless agreed in writing by both parties.
2. Tour participation
Our tours focus on food, wine, and cultural experiences designed for adults. We cannot accept children under 16. Guests aged 16–17 may join if accompanied by a parent or guardian and must comply with local drinking age laws (18+ in Italy).
3. Fitness, Health, and Special Requirements
You must be in good health and able to participate in the activities described in tour and experience itineraries. Some activities require walking distances, stairs, and uneven surfaces. If you have medical conditions, dietary restrictions, or accessibility needs, tell us before booking so we can confirm if they can be accommodated.
We reserve the right to refuse participation in activities or a tour if, in our opinion, it may affect your safety, the safety of others, or the enjoyment of the group.
4. Making Your Travel Plans
Please review the following information prior to booking your trip
1. We almost never cancel trips so you can assume your tour is going ahead. In the highly unlikely event that we decide to cancel a tour you will be advised at least 120 days prior to trip departure.
2. If the trip is canceled by us, a full refund will be issued. Should the trip be rescheduled to another date, you can choose to allocate any payments you have made to secure a spot on the new trip dates. We are not responsible for any incidental expenses (flights, visas, insurance) incurred before cancelation
3. Extra time in a destination outside of the tour start and end date is at your own expense. If you arrive before or after our designated check-in / transfer has been arranged, we can provide suggestions for ways to enjoy your time
4. Passports must have a minimum of 3 months validity at the time of departure from Italy per Italian government requirements however we recommend ensuring there is 6 months validity remaining on your passport. Please make sure you check your current passport and renew it if necessary.
5. Visas may be required for entering Italy, and are at your own expense. You can check this Italian government website for requirements.
6. It is your responsibility to research the visa and passport requirements for Italy and coordinate your visa within the appropriate timeframes required by your local embassy. We are unable to provide any refunds if you are denied entry to the country, even if we or our local agent, has provided visa support (eg. if the local agent provided you with the invitation letter).
7. If a trip is priced in a currency different to that of your own, or if we provided estimated amounts in your local currency, please be aware that currency fluctuations may affect the final converted price in your currency. We do not have control over worldwide currency fluctuations, and monitoring this will be your responsibility. Payments are due in the currency quoted on the trip page.
5. Payments
5.1 Scheduled Tours:
- Deposit: USD $500 per person* is required to secure your place
- Balance: Due 60 days before departure or date specified on trip booking page.
- Instalments: 25% at 180 days, 120 days and 90 days prior to departure or as specified on tour booking page. Flexible instalments are allowed before the balance due date.
* From time to time we may offer a reduced deposit of $US 250 per person to secure your spot on your preferred tour. In this case the deposit is not refundable
5.2 Private Experiences:
- Deposit: Amount advised at booking – usually 30% ( partially refundable unless we cancel).
- Balance: Based on final guest numbers advised at latest 100 days prior to trip commencement. Due 90 days before departure.
- Custom payment terms often apply, refer to your trip proposal for specific payment terms related to your trip.
5.3 Credit Card Bookings
While we accept major credit cards including Visa, Mastercard and American Express, travelers must authorize Untold Italy Tours and/or the supplier to charge your card and agree to these terms and conditions including the cancelation terms. As such you agree not to make any improper chargebacks.
In certain cases, you can dispute charges with credit card companies (“chargebacks”). Before initiating a chargeback, we ask you first contact us to discuss any questions or concerns about our charges. We will work with you in attempting to resolve your concerns. By using our service to make a reservation, you accept and agree to our cancelation policy. Untold Italy Tours retains the right to dispute any chargeback that is improper and recover any costs, including legal fees related to improper chargebacks.
In the event of an improper chargeback, we retain the right to cancel any travel reservation related to that improper chargeback. The following chargeback scenarios are improper, and we retain the right to investigate and rebut any such chargeback claims:
- Chargebacks resulting from non-cancelable reservations, whether or not the reservation is used.
- Chargebacks resulting from charges authorized by family, friends, associates or other third parties with direct access to your credit card. This does not include credit card fraud.
- Chargebacks arising from inconsistency or inaccuracy with regard to the supplier’s product description.
- Chargebacks resulting from force majeure or other circumstances that are beyond the control of Untold Italy Tours or the Supplier.
- Chargebacks resulting because you do not agree with our cancelation policy.
6. Cancelation Policy
No one books a trip to Italy with the intention of canceling, but unexpected events do occur. Our cancelation policies are in place to help guests, our local partners and us through expenses that may arise from unexpected cancelations.
6.1 Cancelations Initiated by You – Scheduled Small Group Tours
- Before balance due date: Refund less USD $250 service fee per person.
- After balance due date – 31 days before departure: 50% cancelation fee.
- 30 days or less before departure: 100% cancelation fee
If you are not able to make a trip, we allow you to transfer the trip to someone of your choosing, found and assigned by you, no later than 30 days prior to departure and in writing. In that case, we will be transferring any payments you’ve made to that person and the new assigned guest will be responsible for making the pending payments. You will be responsible for recovering any monies already paid from the guest yourself.
6.2 Cancelations Initiated by You – Private Experiences
- Before balance due date: Partial refund of deposit
- After balance due date – 31 days before departure date: 50% cancelation fee
- 30 days or less before departure date: 100% cancelation fee
6.3 Cancelations After Tour Commencement:
No refunds or credits are given for any missed services, late arrival, early departure, or failure to complete the tour. Additional costs to join or rejoin a tour after a late arrival are at your expense.
We do not issue refunds for any part of the trip not used, including (but not limited to) meals, activities, or any other services.
6.4 Cancelations Initiated by Us:
We reserve the right to cancel tours for operational reasons. In the unlikely event that your tour is canceled, notification of cancelation will occur a minimum of 120 days before tour departure date. Your hold deposit and any other payments made to us with respect to your booking will be refunded in their entirety.
7. Travel Insurance
Because refunds are made available only per the policy outlined above, and we are unable to make exceptions for any reason, including weather, injury/illness, or personal emergencies, we require all guests take out comprehensive travel insurance to compensate in case of unexpected cancelations.
Comprehensive travel insurance is required for all guests and must include:

Emergency evacuation
Cancelation cover is also recommended but not mandatory. Proof of insurance must be provided at least 30 days before departure. Failure to provide proof will result in cancelation.
Some companies to consider:
- World Nomads – simple and flexible travel insurance for independent travelers. Includes 24×7 assistance when abroad
- Safety Wing Nomad Insurance – designed to meet the unexpected medical and travel needs faced by people traveling outside of their home country
- Travelex (USA residents only) – comprehensive travel insurance options covering medical assistance and delays
Unfortunately these providers may not offer policies for those aged over 69. In this case you can try Travel Insurance Master – a service that allows you to compare quotes and insurance policies.
8. Prices and Surcharges
Untold Italy Tours trip prices are subject to variable and seasonal pricing, both of which are standard practice within the travel industry. This means our trip prices may vary at any time in accordance with demand, market conditions, and availability. There is a chance that different passengers on the same trip have been charged different prices.
If you like the price you see on our website then your best option is to book at that time. Any reduced pricing or discounts that may become available after you have paid your deposit will not apply. If you wish to cancel your booking to take advantage of a cheaper price, full cancelation conditions apply. The most up-to-date pricing is available on our website.
Prices are subject to change until your booking is confirmed. We may impose surcharges up to 45 days before departure due to currency changes, transport costs, taxes, or supplier increases. You may cancel within 14 days if a surcharge exceeds 10% of your trip cost.
Discounts or reduced prices after booking do not apply to existing bookings.
9. Itinerary Changes
We provide all tour participants with detailed itineraries prior to booking and departure. Due to the boutique nature of our tours, itineraries may be adjusted for operational reasons, weather, supplier availability, or safety. Any changes made will aim to enhance your experience.
10. Accommodation
All prices are based on twin-share rooms. A single supplement applies if you request your own room. We may help pair solo travellers but cannot guarantee twin-bedded rooms due to Italian accommodation norms. You are responsible for the safety and security of your belongings within a shared room setting. We are unable to accommodate more than 2 guests to a room.
11. Photography and Media
By joining our tours, you consent to our use of your image for promotional purposes worldwide in any medium, without payment or right of approval. If you do not consent, you must notify us in writing before departure. We cannot guarantee exclusion from all group photos.
12. Behaviour and Authority on Tour
You must follow the lawful and reasonable instructions of our experienced bi-lingual tour leaders. We may remove any guest whose behaviour disrupts the tour or endangers others, without refund. You must at all times comply with the laws, customs, foreign exchange, and drug regulations in Italy, and agree to travel in accordance with responsible travel guidelines.
13. Health and Safety Policy
The health and wellbeing of all our guests and staff is of utmost importance. If you feel unwell, please let your host know and they can assist with accessing treatment options including with English speaking practitioners.
We require all guests to consider the health and well being of fellow guests if they display cold / flu / covid symptoms and isolate as appropriate.
You will comply with Italian laws including public health directives. Failure to abide by this provision may result in immediate termination of your trip without a refund or other liability by us, our local partners or agents.
We do not tolerate drug use of any kind during our trips and we require responsible alcohol consumption, for your safety and that of those around you.
Smoking is not allowed in any Untold Italy booked transport, hotel rooms, restaurants, or within the vicinity of the tour group.
14. Liability Waiver
You participate in an Untold Italy Tour at your own risk. To the fullest extent permitted by law:
- Our liability is limited to the amount you paid for the tour
- We are not liable for indirect, incidental, or consequential losses
- Third-party suppliers are independent contractors, and we are not liable for their acts or omissions
You agree to sign a waiver before the tour starts.
15. Force Majeure
Untold Italy Tours assumes no liability for, any loss, damage, delay, or cancelation resulting in whole or in part from an Act of God or any other force majeure condition, including, without limitation: fire, volcanic eruption, hurricane, environmental pollution or contamination, inclement weather, earthquake, low or high water levels, flood, water or power shortages or failures, tropical storms or hurricanes, riots or civil commissions or disturbances, and any other acts of a similar nature, sabotage, arrests, strikes or labor disruptions, restraint of rulers or peoples, expropriations, acts of terrorism, war, insurrection, quarantine restrictions, government health advisories, epidemics, pandemics, or warnings or alerts of any kind of nature, government seizures, refusal or cancellation or suspension or delay of any government authority or any license, permit or authorization, damages to its facilities or the travel supplier and its facilities, or any other unforeseen circumstances or any other factors unforeseen by Untold Italy Tours that impacts negatively on, or hampers, its ability to fulfil any of its contractual conditions. In the circumstances amounting to force majeure, we will not be required to refund any money to you, although if we can recover any monies from our suppliers, we may offer credit or a refund..
16. Complaints
We are committed to creating and delivering extraordinary experiences. Any issues during the tour must be raised with your tour host / leader immediately. Formal complaints must be submitted in writing with supporting documentation to info@untolditalytours.com within 30 days of tour completion.
17. Third-Party Operator Terms
Some tour experiences are operated by local partners. In these cases, you agree to both our terms and the partner’s terms. Where the partner handles payments, all financial and service liabilities rest with them.
18. Disclaimer
Untold Italy and all our representatives (herein after referred to as “agents”), act only in capacity as agents for the guest in all matters connected with travel, sight-seeing journeys and transportation.
You agree that as agents, we are held free of responsibility for any damage occasioned by any cause, in particular:
- For any damages or expenses or inconveniences caused by late departures, change of schedule or change in activities caused by reasons beyond our control
- For loss or damage to baggage or any of the participant’s belongings.
- For personal injury, death, accident, delay, loss, damage, irregularity or property damage as a result of force majeure or for any other losses or damages incurred by any person or journey participants caused by any delay or change of itinerary or arising out of any act, including, but not limited to, any act of negligence, any person acting for or on behalf of agents for transportation, accommodation or sight-seeing provider or any other person or entity rendering any of these services or accommodations being offered in connection with this journey.
19. Governing Law
This agreement is governed by the laws of the Commonwealth of the State of Victoria, Australia. Any disputes must first go to mediation in Victoria. If unresolved, they must be brought in the courts of Victoria.
